We are looking for an experienced, multitask, Senior Office Manager to join our Admin/Ops team. This is a full-time, work-from-office position. The Admin/Ops team is responsible for ensuring the smooth running of the office and helping to improve company procedures and day-to-day operations. Responsibilities include working with external vendors, managing projects and communicating with the company branches and management globally, managing the tasks for the facilities team which includes but is not limited, to our cleaning team, office managers, and maintenance manager, greeting visitors, organizing team gatherings, scheduling meetings and appointments, managing office supplies, coordinating IT support, and providing general administrative support to our employees, HR, and management. While you are not a receptionist, you often will serve as our company’s first point of contact for customers, suppliers, service providers, and potential hires.
Requirements
- Experience in a similar role in a fast-growth global high-tech company
- Experience in managing operations positions such as: office managers, cleaners and other facilities positions
- Proficiency in English at an advanced level, encompassing both spoken and written communication
- Experience in facilities management, including office renovations and transitions: advantage
- Strong organizational management and planning skills
- A quick learner with demonstrated ability to switch among multiple tasks over a single day, and to keep track of numerous concurrent assignments while completing them in a timely fashion
- Willingness to work after regular business hours or adjust work schedule as needed
- A pleasant and friendly attitude is essential, with abilities to listen and communicate effectively
- Detail-oriented and with a creative mind, able to create and improve processes and procedures
- Proficiency in Microsoft Office and Google Workspace applications is an advantage
- A team player with the ability to work with colleagues and managers remotely
- Ability to work independently, take full ownership of multiple tasks, prioritize workload, and make decisions in a fast-paced environment
Responsibilities
- Organize office layout, food and refreshments, and other office functions
- Manage the hour-to-hour tasks for our cleaning team and maintenance team.
- Support construction, renovation, and relocation projects
- Manage office health, safety, and security procedures and facilities
- Liaise with facility management vendors, including cleaning, catering, maintenance, and security services
- Order and manage office equipment, stationery, and supplies and track the inventory
- Address administrative requests (for example, equipment requisitions and purchasing, scheduling, etc.)
- Arrange transportation, accommodation, and other assistance to our traveling staff and incoming visitors
- Assist in onboarding new hires
- Assist the Director of Global Operations as required
